1. Click and view any portal
2. From the left shortcuts click “List Sites”
3. Click the name of the calendar to edit
4. Change its type from personal to global

For the STATS use case, it is expected that all leaners and tutors will eventually have an entry in Sugar. This will allow for scheduling, messaging and other features. Most of these are not yet implemented.

A: You don’t but I can in the database.

Employees/users are not deletable via the standard Sugar interface. This is by design in order to maintain records of users no longer active. Instead, it is recommended to set a user as on “leave of absence” or “terminated”. Of course, mistakes do happen and on occasion it really does make sense to delete a mistaken user entry. In this case please contact me to set the “deleted flag” to true.

A: Yes, this seems to be a common mistake for new administrators, including me. There seem to be multiple acceptable paths but I will only cover the one I think works best.

Add all employees as users

Adding all of your employees as users provides each with a username and password. If they should not have access to the system, they can later be marked as not a Sugar user.

You must be and administrator to add users.

1. Click “Admin” from the top shortcut bar
2. Scroll down and then click on “User Management”
3. Click “Create New User” from the left shortcut bar
4. Fill in required information
   1. First name, Last name, User name, and Password
5. Review “User Settings”
6. Skip “Locale Settings”
7. Enter “User Information”, “Address Information”, and “Calendar Options” as you see fit
8. Make changes to “Layout Options” if needed
9. Complete “Email Options”

Disable/enable employee users

Some employees are not meant to be SugarCRM users. Since you entered all employees as users, you should now disable any that really should not have access to the system.

1. Click “Employees” from the top shortcut bar
2. Check those employees whose Sugar access you wish to change
3. In the “Mass Update” section, set “Is Sugar User” to the appropriate setting
4. Click the “Update” button

These same steps may be used to enable employees to access Sugar.

A: You do not have the calendar sharing set properly in Google calendar or you used the incorrect URL

Yesterday, when you embedded the calendar, you were also logged into Google. Today you are not logged into Google and therefore see the error message.

There are two solutions. One, set your Google calendar to Public. Two, embed the private URL. Both of these are available from Calendar Settings.

Open your calendar’s settings:

1. View your calendar
2. Click on “Settings” from the top tabs
3. If you have multiple calendars, make certain you have the correct calendar selected
   1. Click “Calendar” tab
   2. Select which calendar to edit

Get link to a public calendar:

1. Click the “Share this calendar” tab
2. Check “Mark this calendar public”
3. Click the “Calendar details” tab
4. Click the “HTML” button in the Calendar address section
5. Copy the URL that is displayed

Get link to a private calendar:

1. Click the “Calendar details” tab
2. Click the “HTML” button in the Private address section
3. Copy the URL that is displayed

Now that you have the correct Privacy settings and URL, all you need to do is paste the URL into your Portal settings.

If you so desire, this interface may be used in place of the Squirrel Mail interface. The Squirrel Mail interface would likely be faster though. All email managed with IMAP, meaning via Squirrel Mail or Sugar, will still be available in other email clients (ie Outlook). If you are using IMAP, please use IMAP for all of you email clients
